This page contains the general terms and conditions for the reservations of Hugo event venue and meeting rooms Kammio and Itikka.

Booking and confirmation

  • Booking inquiry can be made via telephone or e-mail. See the contact details. The booking is valid when the reservation confirmation is sent to the event organiser via e-mail.
  • In order to reserve a space, the contact details of the event organiser must be entered in the customer register and reservation system (Timmi) shared by the operators of the Art and Culture Centre Kalevan Navetta.
  • The venue is available to the event organiser in accordance with the booking confirmation.
  • The price of the reservation is determined by the current price list. The price of the space and additional services will be indicated in the booking confirmation.

The responsibilities of the event organiser

  • The event organiser must name a responsible person for the reservation. The booking may not be transferred to a third party.
  • The event organiser is responsible for the facilities, equipment and furniture for the duration of the booking. The event organiser shall be liable for any damage caused to the premises or movables.
  • The event organiser must take into account the instructions given by the staff on the use of the space and equipment.
  • The event organiser is responsible for obtaining copyright and other intellectual property rights required for the event.
  • The event organiser must adhere to official safety regulations
  • The event organiser is responsible for marketing their event and organizing ticket sales.
  • The content or nature of the event organised in the reserved premises cannot conflict with the Finnish law or contrary to good practice.
  • Any costs incurred for any use other than that specified in the booking (e.g. security costs or extra cleaning costs) will be charged to the hirer.

What is included in the price?

  • The right to use the space and furniture during the reserved time.
  • The right to use the meeting equipment (data projector, white screen)
  • In Hugo Event Venue: Stage (default size: 8 m x 3 m, maximum size 8 m x 4 m)
  • In Hugo Event Venue: Light and sound system.
  • In Hugo Event Venue: Small backstage with shower, toilet and refrigerator

Additional Services

  • Additional services (e.g. restaurant services, stage alterations, services of a technician, use of the grand piano) must be ordered at least 2 weeks before the start of the reservation.

Restrictions

  • The use of fog or smoke machines, pyrotechnics or fire effects is not possible in Kalevan Navetta.
  • The restaurant services in Kalevan Navetta are provided exclusively by Oy Onnen Juurella / Restaurant Äärellä Kuppi + Kattila. It is not permitted to bring your own catering to the premises.
  • The use of the light and sound system in Hugo Event Venue requires the service of a professional technician. Ask more for the price and details.

Payment terms

The event organiser must provide billing information in advance. Unless otherwise agreed, the rental fee is charged by the City of Seinäjoki. Additional services will be invoiced separately.

Terms of cancellation

Changes and cancellations to a reservation should be notified by email to ravintola@aarella.fi or kalevannavetta@seinajoki.fi. Changes will be made within the constraints of the available possibilities and time schedule. In case of cancellation 8-14 days before the event, 50% of the rent and other charges will be charged. If cancelled 1-7 days before the event, the full price will be charged. Changes and cancellations to additional services must be notified to the service provider and are subject to the terms and conditions of the service provider.
